Privacy policy
How Wagecrew Limited collects, uses and protects personal data on the wagecrew.com website - and the rights you have over it.
Who we are and how to contact us
wagecrew.com is operated by Wagecrew Limited, a company registered in England and Wales under company number 17281102, with its registered office at 66 Cromwell Road, Ellesmere Port, CH65 4AA. Wagecrew Limited is the data controller for personal data collected through this website, and is registered with the Information Commissioner’s Office (ICO) under registration number ZC202752.
For anything in this policy - including any data-protection question or request - email contact@wagecrew.com. We are a small company and have not appointed a Data Protection Officer; that address reaches the people responsible for data protection directly.
What this policy covers
This policy covers the wagecrew.com marketing website only: the pages you are reading, the demo-request and contact forms, and the analytics described below.
It does not cover the Wagecrew EWA product - the worker app and the employer console. The product has its own terms and privacy documentation, provided to clients and their workers at onboarding. If your employer uses Wagecrew and you want to know how your pay data is handled, see the product privacy notice you were given when you were onboarded, or ask your employer.
The personal data we collect and where it comes from
We collect very little, and all of it comes directly from you or from your browser:
- Demo requests - your name, work email, company name and headcount, plus optional details you can choose to add: workforce type, pay frequency, sector and your role.
- Contact form messages - your name, email address and message, and any later correspondence between us.
- Technical data - your IP address and browser user agent, handled transiently when you submit a form, purely for security and rate-limiting. We do not keep it.
- Analytics data - only if you consent to analytics cookies: how the site is used, via Google Analytics. Separately, Vercel provides cookieless, aggregate analytics that store nothing on your device.
We do not collect any special categories of personal data through this site.
How and why we use your data
UK data protection law requires a lawful basis for each use of your data. Ours are:
- Responding to your enquiry - replying to a demo request or contact message and following it up. Lawful basis: our legitimate interests in responding to enquiries from prospective business customers and managing our sales pipeline.
- Keeping the site secure - using transient technical data to protect the site and its forms from spam, abuse and attack. Lawful basis: our legitimate interests in running a secure website.
- Understanding how the site is used - Google Analytics, described in the cookies section. Lawful basis: your consent, given through the cookie banner and withdrawable at any time.
Marketing
We do not send marketing emails today. If you ask for a demo or send us a question, we reply and may follow up on that enquiry - that is a direct response, not a mailing list.
If we ever introduce marketing emails, we will send them only with your consent, and every message will include a working unsubscribe link. You can object to direct marketing at any time by emailing contact@wagecrew.com, and we will stop straight away.
Who we share your data with
We use a small number of service providers to run this site, and we name them:
- Sinch Mailgun (EU region) - delivers the email that our forms generate.
- HubSpot - our CRM, where enquiry records are held.
- Google - Google Workspace runs our email; Google Analytics 4 receives usage data only after you consent to analytics cookies.
- Vercel - hosts the site and provides its cookieless, privacy-friendly aggregate analytics.
Beyond these, we share personal data only with professional advisers where needed, or with authorities where the law requires it. We never sell personal data, and we never share it for anyone else’s marketing.
International transfers
Some of our providers process data in the United States. Where they do, the transfer relies on the UK Extension to the EU-US Data Privacy Framework where the provider is certified under it, and otherwise on the UK International Data Transfer Addendum or equivalent standard contractual protections. Email delivery through Mailgun uses its EU region. Email contact@wagecrew.com if you want detail on the safeguard that applies to a particular provider.
How long we keep your data
- Enquiry records - kept for up to 24 months after our last contact with you, then deleted, unless your enquiry becomes a client relationship (in which case the product documentation governs from onboarding).
- Technical data - transient only, used for security and rate-limiting at the moment you submit a form; not retained.
- Analytics data - kept according to Google Analytics’ standard retention settings.
How we keep your data secure
We take proportionate technical and organisational measures: the site is served over HTTPS, so form submissions travel encrypted; access to enquiry records is limited to the people who handle enquiries; and we use the reputable providers named above, with email processed in Mailgun’s EU region.
Cookies and analytics
This site uses exactly one optional cookie family: Google Analytics
(cookie names beginning _ga), a third-party cookie set by Google. It is set
only after you choose “Accept analytics” on the cookie banner. If you decline,
no analytics cookies are set - and you lose nothing; every part of the site works exactly
the same.
Essential site function uses no tracking cookies at all. Your cookie choice itself is stored in your browser (in localStorage, not a cookie) and never leaves your device. Vercel’s analytics are cookieless and aggregate: they measure overall site usage without storing anything on your device or identifying you.
You can change your mind at any time - withdrawing consent is as easy as giving it. The button below clears your stored choice and shows the banner again:
Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you;
- Rectify data that is inaccurate or incomplete;
- Erase your data (“the right to be forgotten”);
- Restrict how we process it;
- Object to processing based on legitimate interests - and object unconditionally to direct marketing;
- Port your data to another provider in a usable format;
- Withdraw consent at any time where consent is the basis (analytics cookies - use the button in the cookies section), without affecting processing that happened before you withdrew.
Exercising any of these is free. Email contact@wagecrew.com and we will respond within one month.
If you choose not to provide data
You are never under a statutory or contractual obligation to give us personal data. But without a name and an email address we cannot respond to a demo request or a message.
Automated decision-making
We make no solely automated decisions about you through this website - nothing here profiles you or produces legal or similarly significant effects.
Third-party links and children
Where the site links to third-party websites, those sites have their own privacy policies and this one does not apply to them. This site is aimed at businesses and is not directed at children.
Complaints and the ICO
If you are unhappy with how we have handled your personal data, please contact us first at contact@wagecrew.com - we will acknowledge a data-protection complaint within 30 days and work to put things right. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office, at ico.org.uk.
Changes to this policy
This is version 1.0 of this policy, effective 19 July 2026. We keep it under review and will update the version number and date whenever it changes, so this page always shows the current policy.
